The Terraware mobile app lets you record seed collections in the field and upload them to Terraware, where they'll appear as Accessions with a status of Awaiting Check-In. You can record collections without a network connection and upload them when you're back online.
To sign in to the mobile app, you'll need an existing Terraware account. See Creating an Account for instructions. The first time you log in, you'll need a data or Wi-Fi connection. After that, you can use the app offline until you're ready to upload your collections.
Select your Organization
If you're a member of multiple Organizations in Terraware, make sure you select the correct Organization before recording a collection.
- Tap the icon at the top right of the home screen.
- In the sidebar that appears, select the Organization you are collecting for.
Create a new collection
- Tap + New Collection at the bottom of the screen.
- In the Trip Information section, fill in the following details. All collections made on the same day will share this trip information, so you only need to enter it once. You can update it at any time by tapping the triangle next to Trip Data to expand the fields:
- Collection Date — the date on which you collected the seeds.
- Collection Site Name — a user-defined name for the collection site.
- Collectors — the names of the people performing the seed collection. The list includes names from all existing Collection and Accession records in your Organization.
- In the seed data section, fill in the details about the seeds you are collecting. None of the fields are mandatory, but we recommend including at minimum the Species, GPS coordinates, and a photo:
- Species — select from your Organization's Species list. Note: you cannot add new Species in the mobile app, so make sure your Species list is up to date before going out to collect.

Plant Source Type — the type of plant you are collecting from:
- Wild (In Situ) — a plant found in the wild that was not planted by humans.
- Reintroduced — a plant that was reintroduced to the wild by humans.
- Cultivated (Ex Situ) — a plant that was planted and maintained by humans.
- Other — any other type of plant.
- Plant ID — if applicable, the ID used to track rare trees in your area.
- Estimated Number of Plants Collected From — your estimate of the number of plants you collected from.
- Bag IDs — if your team uses written bag IDs to track collections, record them here.
- Latitude and Longitude — automatically recorded using your device's GPS when you create a new collection. You can add more GPS points or edit existing ones as needed.
- Photos — take a photo or upload an existing one. You can add up to 10 photos per collection.
- Plant Notes — any additional notes about the collection.
- Tap Save. The collection will appear under the collection date on the main screen.
Drop off seeds and upload to Terraware
When you've finished collecting and are ready to physically drop off your seeds at a Seed Bank, complete the following steps. You'll need a data or Wi-Fi connection to upload.
- Tap Drop Off Seeds.
- Select the Seed Bank you want to drop off your seeds at.
- Tap Upload. Your seed collection will be uploaded to your Accessions page in Terraware. Note: Once uploaded, the collection will no longer be visible in the mobile app.
