Whether or not you have a nursery, you will want to record inventory of the seedlings you plan to plant in your planting sites. The way to record plants in your Planting Sites is through Withdrawals from your Inventory.
There are three ways to add seedling inventory. The first two, bulk and manual, are the same as the ways to add seed accessions. The third, adding through a seed accession withdrawal, is the most powerful and will allow you to maintain a connection between your seed accession data and your seedling data.
Bulk importing from existing inventory database
When you first start using Terraware, you may have an existing seedling inventory list in use. If you have been keeping track of your seedling inventory outside of Terraware, you can easily import the list into Terraware using a .CSV file (which can be created, edited and deleted in any spreadsheet program of your choice, for example Excel, Google Sheets, or Numbers).

- First, you will need to make sure your CSV file is formatted with the correct column names and values. You can find a blank template that you can fill out by navigating to Seedlings > Inventory and clicking on the CSV download link under “Import Inventory”. You can then open it in your spreadsheet program of choice. The only required columns are the scientific name and the collection date. Note that using the correct acceptable value does matter for any column where we provide you with acceptable options below. After you’ve filled the sheet out, make sure that you save it as a CSV.
- Acceptable values for Germinating Quantity: numbers only!
- Acceptable values for Seedling Quantity: numbers only!
- Acceptable values for Stored Date: YYYY-MM-DD
- Upload your .csv into Terraware by going to the seedling inventory page, clicking on the three dot icon (directly to the right of the +Add Inventory button), and selecting “Import”.
- Choose the nursery you will be adding the inventory to.
- Choose the file you’d like to upload.
- Again, make sure you upload a .csv file with columns that have accepted values in them or else you will get an error message!
- Your CSV will be uploaded. If there are any issues with it that prevent it from being read, you’ll be asked to correct them and re-upload.
- You will get a success message once your import has been completed and your data will appear in the accessions table.

- Click the “Add Inventory” button on the top right of the screen.
- Fill in all fields marked with an *. This includes the following:
- Species: Select from your organizations species list
- Accessions: You can select an accession if the selected species is associated with an accession.
- Receiving Nursery: This is the nursery you are adding inventory to.
- Date added: This is the date that you added the seeds / seedlings physically to your nursery.
- Germinating Quantity: This refers to any seeds you add to your nursery which have not yet germinated. Note that germinating quantity does not count toward the total quantity for your seedlings since they have not germinated yet.
- Not Ready Quantity: This is the quantity of seedlings that are not ready to leave your nursery. What determines a plant as “Not Ready” is up to your team and is often species specific. For example: size of plant or amount of time acclimated. Our team uses this indicator for plants which are not yet ready to be planted in the field.
- Ready Quantity: This is the quantity of seedlings that are ready in your nursery. What determines a plant as “ready” is up to your team and is often species specific. For example: size of plant or amount of time acclimated. Our team uses this indicator for plants which are ready to be planted.
- Estimated Ready Date: This date refers to the estimated date upon which your seedlings will switch to being “ready”. We will send a notification on this date to remind you to check on your plants and adjust the quantities accordingly.
- Total Quantity: This quantity cannot be edited. It is the total of the “ready” and “not ready” seedlings. Note that germinating quantity is not included in this total!

- Click the “Save” button at the bottom right of the screen.

Adding seedling inventory from existing seed accessions
Directly associating an accession with the inventory batch is the only way to maintain a connection from seed accession to seedling! You can do this by withdrawing ready seeds from an accession to a nursery. Note that the quantity you withdraw will be added to the Seedling Inventory as “Germinating Quantity”.

- Navigate to your seed accessions page (Seeds>>Accessions)
- Click on the accession you wish to withdraw from and add to your seedling inventory.
- Click “Withdraw”.
- Select “Nursery” as your purpose.
- Choose the nursery you wish to add your seeds to under “Destination”.
- Enter in additional information.
- Click “Withdraw”.
