The accession details page is an overview of your accession. You can edit your accession details, change the status of the accession, the location, quantity, viability, make a withdrawal and delete the accession from this page.
Accession Details screen
- Changing Status: To change the status of your accession simply click on the status card and select the status you wish to change it to.
- If the status of your accession is “awaiting check-in” you will first need to click the “Check In” button on the top right hand side of the screen. This is an indication that you have physically received seeds that have been dropped off at your seed bank.
- The following are the options for your seed accession status:
- Awaiting Check-In: For any seeds coming in through the seed collection app. We use this status for when someone has uploaded (“dropped off”) their seed collection through the mobile app. Seed bank managers can then quickly assess what seeds they need to check-in. This is recommended so that they can ensure the species has been correctly identified in the field.
- Awaiting Processing: For seeds once they have been checked into the seed bank. This means seeds that have yet to be processed in any way.
- Processing: For seed accessions that are currently being processed (eg. going through a seed blower).
- Drying: For seeds which are in the process of being dried.
- In Storage: For seeds that are in storage. This can mean different things for different types of seeds.
- Withdrawn: This status is only assigned by Terraware when you have withdrawn the full quantity of the accession.
- Changing Location: To change the location of the seed accession you can simply click on the location card and select a different seed bank and sub location.
- Changing Quantity: To change the quantity of the seed accession you first need to have your status set to either “drying” or “in storage”. This is because if you are measuring your quantity in weight it will change after it has been dried. To change quantity:
- Record quantity by using either seed accession count or seed accession weight as the primary unit.
- If you are using weight based accessions we recommend that you enter in a subset weight by clicking on the “Weight to Count Calculator” for your accessions. Simply enter the weight of a small subset of your seeds, the count for that subset, and the total weight of the accession.
- We will calculate the estimated seed count of your accession with this information.
- Important note: to use some of Terraware’s core functions (viability testing, tracking seed accessions into seedling inventory, accurate counts of seeds in your seed bank) we require you to have either a subset weight or have accessions with a count based quantity.
- Also note that the intention of editing the quantity is to be used for the initial quantity and for correcting any mistakes made during withdrawals.
- Changing Viability: To change the viability of your seed accession you can click on the viability card and directly edit the viability percentage of your accession. You can also add a viability test through this card. We recommend recording viability tests through Terraware so your data is all in one place.
Viewing Accession History
The history tab shows the history of actions that have been performed on your accession. This acts as a record over the lifetime of your accession! You can see dates for when the accession was created, when you withdrew seeds, and much more. Note that you are not able to edit any of the information on the history page–it is simply a record of what has been done.
